Terms of Service
Last updated: November 2026
These Terms govern the use of MyChurch, the church management service operated by Bitwise Digital Solutions Ltd ("MyChurch", "we", "us"). MyChurch includes the church portal at account.mychurch.co.ke, the My Church mobile apps, USSD services and the related APIs. By registering a church or using any part of the service you agree to these Terms. Our Privacy Policy explains how we handle personal data and forms part of these Terms.
1. Acceptance of terms
The church or organisation that subscribes ("the Church", "you") accepts these Terms through the person who registers it, who confirms they have authority to bind it. Members who use the My Church app accept the parts of these Terms that apply to members (section 8). If you do not agree to these Terms, do not use the service.
2. Church accounts and staff
You must give accurate information about the Church and keep it current. You decide which of your staff have accounts and what each may do. You are responsible for all activity under the Church's accounts, and for keeping passwords and sign-in codes confidential.
Tell us at once at [email protected] if you suspect someone has used an account without permission.
3. Plans, subscription and payment
MyChurch is offered on the plans and at the prices shown on the pricing page, billed monthly, plus any one-time set-up fee agreed with you. Subscriptions are paid on M-Pesa paybill 4010963 with the Church's CH- account number, or as otherwise agreed in writing. Each payment extends the subscription, and the portal shows the date it runs to.
If the subscription is not renewed, the Church's access may be paused until payment is received. Features of the Premium plan are available only while the Church is on that plan. We may change prices with at least 30 days' notice by email or in the portal.
4. Giving and payments to the Church
Members' gifts are paid to the Church's own M-Pesa paybill or till, or its bank account. MyChurch does not hold or move those funds; it records the payments that the payment provider reports and confirms. You are responsible for the paybill, till and bank accounts you connect, for the credentials you give us to connect them, and for your own reconciliation with your provider's statements.
A payment is credited in MyChurch only after it has been confirmed with the payment provider. Payments that cannot be matched to a collection account are held for the Church to review.
5. SMS and messaging
Messages are sent through Mobile Sasa, operated by Bitwise Digital Solutions Ltd, under the Church's sender name and from the Church's SMS balance, which is bought separately. Use of SMS is also subject to the Mobile Sasa terms and to the rules of the Communications Authority of Kenya and the mobile networks.
Send messages only to people who have a relationship with the Church and expect to hear from it, and respect a member's request to stop receiving messages.
6. Member data
The Church decides what member information it keeps and why, and is responsible for having a lawful basis for it under the Data Protection Act, 2019. We process that information to provide the service, as described in the Privacy Policy. Members may ask to have their data deleted as set out on the data deletion page.
7. Acceptable use
You must not use MyChurch to:
- break the law, or help anyone else do so;
- send unsolicited, deceptive, threatening or hateful messages;
- collect payments under false pretences or for anyone other than the Church;
- upload information about people that you have no right to hold;
- attempt to reach data belonging to another church, or to disrupt or probe the service.
We may suspend an account that breaks this section.
8. Members using the app
Members sign in with the phone number their church holds and a PIN, and must keep the PIN private. A member's relationship with their church, including gifts, pledges and membership, is between the member and the church. The church, not MyChurch, decides on approvals, group membership and the content it publishes.
9. Availability
We work to keep MyChurch available, but we do not guarantee uninterrupted service. Maintenance, outages at mobile networks, payment providers or banks, and events beyond our control may affect it. Where we can, we tell you about planned maintenance in advance.
10. Intellectual property
MyChurch and its software remain the property of Bitwise Digital Solutions Ltd. These Terms give you the right to use the service, not to copy, modify or resell it. The Church keeps its rights in the content and records it puts into MyChurch, and lets us process them only to provide the service.
11. Ending the service
You may stop using MyChurch at any time by telling us at [email protected]. We may suspend or end the service for non-payment or for a breach of these Terms. Ask us before you leave if you want an export of your records.
12. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential loss, or for loss caused by mobile networks, payment providers, banks or the Church's own staff and credentials. Our total liability for any claim is limited to the subscription fees the Church paid in the three months before the event that gave rise to it.
13. Governing law
These Terms are governed by the laws of Kenya, and the courts of Kenya have jurisdiction over any dispute.
14. Changes to these terms
We may update these Terms. We give at least 14 days' notice of material changes by email or in the portal, and continued use after that date means you accept them.
15. Contact
